People and accounts register

A people and accounts register records users, roles, account status, and system access context for reviews.

What it means

A people and accounts register is a maintained record of people, account identifiers, roles, statuses, and related system access context. It helps teams answer who exists, who has left, who changed role, and which accounts need review. It is often the input layer for access reviews and offboarding evidence.

Why it matters

Access reviews and offboarding checks are weak when the people list is stale. A register gives the team a practical source to compare against systems in scope. It also helps avoid vague labels like 'former staff' or 'contractor' without a current status and owner.

How CertPilot uses the term

CertPilot's People & Accounts Register is manual-first with CSV import/export and an accounts matrix. It does not sync from Google Workspace, Microsoft 365, HR systems, or directories. It does not monitor productivity, read emails, or inspect private documents.

What to record

  • Person name, role, status, and team context.
  • Account identifiers and systems where relevant.
  • Owner or reviewer for ambiguous accounts.
  • Last reviewed date and offboarding status where useful.

What not to assume

  • Manual register data is not directory sync.
  • Account context is not employee surveillance.
  • The register does not remove access automatically.
