Assets Register
CertPilot keeps a manual-first hardware and software register for ownership evidence: what assets exist, who owns them, what status they are in, and what records need review. It is simple IT inventory for governance evidence, not device monitoring.
Hardware register
Hardware records keep the practical evidence small teams need: assignment, status, basic specification, and enough purchase context to support handover or review.
Software register
Software records capture license context and renewal dates without pretending to detect usage, wasted licenses, or SaaS admin metadata.
Main use cases
Assets Register is for teams that need reliable ownership records without the complexity of a full ITAM suite.
Ownership evidence
Show what hardware and software exists, who owns it, and which records have enough context to review.
Offboarding checks
Use assigned-person records alongside People & Accounts to check what should be returned or reassigned.
Renewal review
Track software renewal dates and license status without claiming SaaS usage or license-waste detection.
Maintenance follow-up
Keep repair, lost, retired, and spare status visible without a full ITAM or endpoint management system.
Security boundary
Software records can indicate whether a license key exists elsewhere, but CertPilot is not a password manager or product-key vault.
Product-key handling
- key_present records whether a key exists elsewhere.
- key_hint is a short masked reference only.
- Full product keys should not be entered or stored in CertPilot.
Evidence value
Assets Register helps answer a practical governance question: what assets exist, who owns them, and what records need review? It supports evidence without claiming device telemetry, endpoint management, or automated SaaS usage analysis.
A dedicated Assets PDF is not built today. The current value is the live hardware and software register, CSV import, and CSV export.
- Not a Snipe-IT clone or full IT asset management suite.
- Not MDM, device monitoring, endpoint monitoring, endpoint agent software, or network discovery.
- Not barcode scanning, depreciation, procurement approval, or stock management.
- Not Google Workspace, Microsoft 365, license-waste, or SaaS usage connector sync today.
- Not a full product-key vault. Full product keys are never stored.
- No dedicated Assets PDF report today. The live surface is the hardware/software register, import, and export.
Keep asset records usable before they become audit scramble.
Start with the hardware and software lists you already have, link owners where useful, and keep the register current without giving CertPilot endpoint or SaaS admin access.

Is Assets Register device monitoring?
No. It is a customer-entered register. It does not install agents, monitor endpoints, scan devices, or collect device telemetry.
Does CertPilot store full product keys?
No. The software register supports a key-present flag and a short masked key hint only. It is not a full product-key vault.
Is this meant to replace Snipe-IT?
No. CertPilot focuses on lightweight ownership evidence and governance records, not full ITAM workflows such as barcode scanning, stock management, depreciation, or procurement approvals.
Does this page claim an Assets PDF exists?
