What it helps you track
The register is built for the everyday hardware and software a small team is responsible for — not just laptops, but the shared and fixed equipment that usually slips out of a spreadsheet.
Hardware evidence
Hardware records keep the practical evidence small teams need: who holds an asset, where it physically lives, how to identify it, and enough purchase context to support handover, offboarding, or review.
Software evidence
Software records capture license context and renewal dates without pretending to detect usage, wasted licenses, or SaaS admin metadata.
Evidence gaps, not security findings
The register can surface where the record is incomplete — an asset with no owner, no location, no serial, no purchase date, or a license with no renewal date. These are treated as operational evidence gaps: places where the record cannot yet answer a basic governance question.
They are not security findings, vulnerability alerts, or risk scores. A gap simply means a field is missing, so you can fill it before an audit, an offboarding, or a leadership review needs it. The dashboard Overview can also surface asset evidence gaps as priority actions.

What it is not
The register is deliberately narrow. That keeps the evidence easy to explain and keeps CertPilot out of your devices, network, and procurement systems.
- Not a Snipe-IT, GLPI, or ServiceNow replacement, and not a full IT asset management suite.
- Not MDM, device monitoring, endpoint monitoring, or endpoint agent software.
- Not network discovery, automatic device detection, or barcode scanning.
- Not procurement, depreciation, or stock management.
- Not automatic SaaS discovery, license-waste detection, or connector sync today.
- No dedicated Assets PDF report today. The live surface is the register, CSV import, and CSV export.

Can CertPilot replace Intune?
No. Intune and other MDM tools enrol, configure, and enforce policy on devices, and can take remote actions. CertPilot's Assets Register is a customer-entered record of what you own and who holds it. It does not install agents, manage devices, or control endpoints. Many teams run MDM for control and a register for the ownership and lifecycle evidence MDM was never meant to hold.
Is this full IT asset management?
No. Full ITAM tools such as Snipe-IT, GLPI, or ServiceNow run barcode check-in and check-out, depreciation, procurement approvals, stock management, and detailed asset histories. The Assets Register is deliberately lighter: it records ownership, location, status, and license context as governance evidence. If you need full ITAM workflows, use a tool built for them — the register can still sit beside it as the summary.
Can I import from a spreadsheet?
Yes. The register supports CSV import and export for both hardware and software records, so you can bring an existing spreadsheet in, keep using spreadsheets for bulk edits, and export at any time. Sorting and filtering then let you work the list without spreadsheet formulas.
Does the report include serial numbers or license keys?
No. The Governance Evidence Pack includes Assets Register data as summary counts only — totals and counts by status or evidence gap. It does not print serial numbers, license references, key hints, or owner-level asset detail. Full product keys are never stored in CertPilot at all; the software register holds a key-present flag and a short masked hint only.
Does CertPilot discover devices automatically?
No. The register is manual-first. You enter records or import a CSV. CertPilot does not scan the network, detect devices automatically, collect device telemetry, or discover installed software. That keeps the register under your control and accurate to what your team actually knows.
